AI can now answer business questions in seconds that used to take a report writer half a day. The catch is simple: to get those answers, most AI tools want your data sent somewhere else.

Six rules for using AI safely
- Know where your data goes. Before using any AI tool with business data, ask: where is it processed, where is it stored, and for how long?
- Keep sensitive data out of public tools. Customer details, pay rates, pricing and financials don't belong in a free chatbot.
- Give AI the least access it needs. An AI that reports on your data should be able to read it, not change it. Treat it like a new staff member on day one.
- Respect existing permissions. If a person can't see payroll in the ERP, they shouldn't be able to see it through an AI either.
- Check the answer before you act on it. Good tools show their working, such as the query they ran, so you can verify the numbers.
- Write a simple AI policy. One page is enough: which tools are approved, what data can go where, and who to ask. It turns shadow AI into managed AI.
